Cantium successfully transfer a Kent Academy Trust to a more efficient HR and payroll system

The Potential in Everyone Academy Trust (PiEAT) was established in 2017 and currently has four primary schools within the Swale area in Kent.

The trust aims to promote excellence across all its schools and while it is a church-led multi-academy trust (MAT), it has both church and non-church schools within its community.

As part of the trust’s academy conversion, they sought support from Cantium’s IntePay team to successfully onboard new staff to the trust and fully manage their HR and payroll services.

The Challenge

Educational institutions require a versatile HR and payroll solution when tackling complex pay structures, pension schemes and ensuring constant changes to the curriculum are met. PiEAT approached Cantium to make improvements to the way they manage their HR and find an alternative payroll service to improve their efficiencies. Cantium demonstrated our ability to begin delivering this service using iTrent HR and payroll software, a system that is designed to meet the needs of schools, academies and multi-academy trusts.

Establishing measurable, attainable and time framed goals was essential to the success of the project. The HR system objectives were to be operationally efficient, improve customer service through better functionality and improve access to data.

A dedicated on-boarding officer was assigned to the trust to ensure a successful onboarding process and the training of staff. This on-boarding officer was able to visit the trust’s business manager to understand their needs and requirements and find out how they could be best supported.

Cantium’s experienced IntePay team attended the trust to provide training and support for staff on how to use the new iTrent system in advance of the first payroll being completed, demonstrating our commitment to delivering a new improved system.

I was originally nervous about being the primary contact for our Trust as I thought the volume of work might be onerous, but this was completely unfounded. After initially developing a great relationship with a very committed on-boarding officer, I now have a fantastic Dedicated Team Assistant who is very capable and consistently goes the extra mile for me. the IntePay Manager is brilliant. She is very dedicated, always goes beyond what is necessary or expected, and is especially adept at providing development solutions to accommodate the Trust’s working practices. 

The customer relationship I have with IntePay has deepened and extended as the Trust has grown into the whole team. I unreservedly recommend using them as your payroll provider.

The Result

Cantium successfully managed PiEAT’s conversion from their old payroll system, Oracle, to the new system, iTrent, which resulted in a number of benefits for the trust:

iTrent’s implementation have facilitated HR in driving use of the system, improving customer experience and enabling the trust to attract the best academic staff to achieve the best outcome for students, allowing the trust to continue focusing on maintaining good and outstanding schools.

This system conversion came with a 0.001% error rate of which the on-boarding officer dealt with personally, calling each employee to apologise for any inconvenience this may have caused. To ensure that the employees were affected as little as possible, advances were expedited for each employee.

By providing a dedicated on-boarding officer and training for trust staff on the iTrent system, Cantium were able to efficiently onboard and deliver this service for PiEAT. Cantium strive to ensure our service can be efficient and effective in meeting schools’ needs and are confident that iTrent can deliver key improvements for the trust.
